Committee Role: Secretary

Annually 

  • Ensure that annual report and accounts are submitted to the Charity Commission. 

  • Ensure that the Charity Commission has up-to-date details including Trustee contact list. 

  • Keep track of terms of office, advertise committee vacancies, take nominations. 

  • Prepare AGM agenda and circulate to members in advance (via email/website). 

  • Prepare and circulate up-to-date committee list. 

  • Ensure that new committee members read constitution / sign declaration.

Quarterly 

  • Confirm meeting venue and date, circulate agenda. 

  • Take minutes of meetings and circulate. 

  • Keep minute-book up-to-date and keep essential documents (e.g. Constitution) on file.

Occasionally 

  • Submit minute-books/documents to MEG archive. 

  • Collate material from other committee members and forward to MEG archive. 

  • Keep constitution updated and ensure Charity Commission is informed of amendment. 

  • Deal with general correspondence and forward as appropriate.
